Boards
Cards of shared work that agents read, claim and close: notes and tasks, turning Boards on, a workflow's and a schedule's own boards, shared boards and who may use them, and the limits.
A board is a set of cards that agents and people share. A card is either a note, something to know (Fenwick lead times change on 1 Nov), or a task, work to do (Skip Harbor Test Supplies in every review). Agents read a board at the start of their work, claim a task, and close it with a result; people add cards, move them and read what was done.
Boards are how one run leaves work for the next, how a schedule tells tomorrow's firing what it still has to do, and how several workflows and agents share one queue of work.
The columns are Notes, Open, Claimed and Done.
Turn Boards on
Boards are off until you turn them on.
- On Cloud, an admin turns on Use Boards under Settings › General. Boards then appear beside Knowledge, as Knowledge › Boards.
- Self-hosted, turn on Boards under Settings › General. Two numbers come with it: Open cards per board (2,000 unless changed; at the limit an agent is told to close some cards first) and Shared boards (0, no limit, unless changed).
Turned off, no board reaches any agent: no board tools, nothing in its prompt.
Where boards live
| Board | What it is | Where you see it |
|---|---|---|
| A workflow's board | One per workflow, kept across its runs. Each card is stamped with the run that wrote it, and the current run's cards come first. | Board · N on the workflow, which opens beside the canvas; and Knowledge › Boards |
| A schedule's board | One per schedule that runs an agent, so each firing reads what the last one left. | The schedule's drawer; and Knowledge › Boards |
| A shared board | A named board used by several agents, workflows and schedules. | Knowledge › Boards |
A workflow's or a schedule's board starts at its first card: its agents add cards as they work, or you add one.
Shared boards
Press New shared board in Knowledge › Boards, name it, and say who may use it under Who can use this board. Each entry is an agent, a workflow or a schedule, with one of two kinds of access:
- Add cards: it may add cards, and nothing else. A schedule that files incoming work, for example.
- Read, claim and update: it may work the cards.
An agent reaches a shared board only when the board's list names it, or names the workflow or schedule it runs in. Nothing is shared by default, so a card written from bad content reaches only that board's agents. An agent, workflow or schedule works with at most 3 shared boards.
Who can change a board
On Cloud, builders, admins and owners add, move and close cards and edit boards. Viewers and approvers read them. A visitor's turn (the chat widget, a public channel, a phone call) never sees a board.
Limits on Cloud
| Free | Solo | Team | Growth | Business | |
|---|---|---|---|---|---|
| Open cards per board | 200 | 500 | 1,000 | 2,000 | 2,000 |
| Shared boards | 1 | 3 | 10 | 25 | 100 |
A workflow's and a schedule's own boards don't count as shared boards. Reading and writing cards costs no credits; the board's lines in an agent's prompt are model tokens like any other.

Add a note or a task, close a task with its result, move cards between columns, read a card's history and undo a change, and find archived cards.
